Who we are

Encore IT (“we”, “us”, “our”) is an IT consultancy based in the United Kingdom. This policy explains what personal information we collect through encoreit.net, how we use it, and the choices you have. We are responsible for the personal information you submit through this website.

What information we collect

We only collect the information you choose to give us through the two forms on our contact page:

• Contact form: your full name, email address, company name (optional), and your message.
• Consultation booking form: your full name, email address, phone number (optional), the service you are interested in, your preferred date and time, the product you are interested in (optional), and any notes you add (optional).

To protect the forms from abuse, our website also briefly reads your IP address when you submit a form, so it can limit how many submissions can be made in a short period. This is held only in the web server's temporary memory, is not written to a database, and is not linked to the details you submit.

Please do not include sensitive personal information (such as health or financial details) in the free-text fields.

How we use your information

We use the information you submit only to:

• Respond to your enquiry or message.
• Arrange, confirm, or reschedule a consultation you have requested.
• Follow up on the specific request you made.

We process this information because it is necessary to respond to a request you have made, and in our legitimate interest in running and replying to enquiries about our business. We do not add you to marketing lists, and we do not sell your information.

How your information is sent and stored

This website does not have a database and does not offer user accounts. When you submit a form, your details are sent to our website over an encrypted (HTTPS) connection, checked, and then emailed to our business inbox using our email provider's SMTP service. The website itself does not keep a copy after the email has been sent.

Your submission is then stored in our business email account for as long as described under “How long we keep your information” below.

Third parties

We share your information only with the service providers needed to run this website and receive your message:

• Our business email account is provided by Google (Gmail), so form submissions are stored on Google’s servers and handled in line with Google’s own privacy terms.
• Our email provider’s SMTP service delivers the form submission to that inbox.
• Like any website, our hosting provider may process basic technical information, such as your IP address, in order to deliver the site to you.

We do not otherwise share your information with anyone, unless we are required to do so by law.

Cookies and tracking

This website does not use cookies. We do not use analytics, advertising, or other tracking tools, and our fonts are served from our own website rather than loaded from a third party.

How long we keep your information

We keep your enquiry in our email account only for as long as we need it to respond to you, arrange any consultation, and keep a reasonable record of our correspondence. You can ask us to delete it at any time. The IP address information used to limit form submissions is kept only in temporary memory and is cleared when the web server restarts.

Your rights

Under UK data protection law, you have the right to:

• Ask for a copy of the personal information we hold about you.
• Ask us to correct information that is inaccurate or incomplete.
• Ask us to delete your information.
• Object to, or ask us to restrict, how we use your information.

To make a request, email us at hello@encoreit.net. If you are unhappy with how we have handled your information, you also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.

Changes to this policy

We may update this policy from time to time, for example if we change how the website works. When we do, we will update the “Last updated” date at the top of this page.
